Document context
Which documents do I need for my Germany pathway?
There is no universal checklist. Which documents become relevant follows from your profession, your qualification, the recognition pathway, the residence route and your own situation. proceda App builds that context before the documents become urgent.
Which documents are ultimately required is determined by the institutions responsible for your procedure.
What creates a document
- Profession
- Qualification
- Recognition pathway
- Residence route
- Competent institution
- your document context
Each line adds requirements the one above it could not produce on its own.
Why every person needs different documents
Documents are not collected. They are produced by a procedure.
Two people with the same qualification can end up with entirely different sets of documents, because the requirement follows the procedure they are in, not the certificate they hold. Three anonymised paths, same starting point:
Path A · regulated profession
- recognition procedure
- language evidence
- competent authority
- employer
Path B · non-regulated, from abroad
- employer
- residence route
- qualification evidence for entry
Path C · profession not yet defined
- German profession open
- procedure open
- document need not yet determinable
A checklist answers a question the procedure has not yet asked.

Documents arise along the whole map, most of them around recognition. Dashed from stage six onward: preparation ends where an application can be submitted. See the complete journey.
How a document context comes into being
An empty workspace. Each decision along the pathway adds a relationship, and only relationships create documents.
- 01 Profession The German profession defines which procedure is even possible. Nothing above it can be answered before it.
- 02 Qualification Certificate, transcript and training content become evidence, and the first relationship in the graph.
- 03 Recognition Where recognition applies, the same evidence has to meet a specific form, certified, translated, complete.
- 04 Employer A contract or an offer adds its own evidence, and often a deadline that the other branches inherit.
- 05 Residence route The route decides which of the existing documents are needed again, in another form, for another authority.
- 06 Competent institution The receiving institution sets the format: original, certified copy, sworn translation, apostille.
Documents grow with the pathway. That is why the context comes first and the list comes last.
Document Context Preview
How far is your document context already defined?
Six short questions. The preview names no documents. It shows which areas of your context are already defined and which are still open. Nothing is uploaded, nothing is sent, nothing is stored.

Do you already know your German profession?
Without it the procedure stays open, and an open procedure produces no requirement.

Context areas
- Identity defined
- Education open
- Professional experience open
- Recognition open
- Employment open
- Residence open
- Institution open
Areas turn from open to defined as answers arrive, no document is named, because none can be named yet.

Nine areas a document belongs to
Not a list of documents, a list of the areas that produce them. Which one is active depends on the procedure you are in.
-
Identity
Who you are, and in which form each institution needs that established.
-
Education
How you qualified: certificate, transcript, curriculum, practical share.
-
Professional experience
What you have actually done, and who can confirm it.
-
Recognition
Evidence for the comparison between your qualification and a German reference.
-
Employment
Offer, contract, job description, the employer context of your case.
-
Residence
Everything a residence route asks for, often the same evidence in a different form.
-
Language
Certificates and preparation, where the profession or the route asks for them.
-
Institution
Forms, declarations and formats specific to the receiving body.
-
Supporting evidence
Everything requested in addition once a case is under way.
One document often serves several areas, in a different form each time. That is the work.
Language evidence is part of the document context
On many pathways a language certificate is not an extra. It sits in the same file as the qualification, with its own issuing body, its own validity and its own deadline. Preparation therefore belongs into the context, not next to it.
Every document has a lifecycle
A document is rarely simply “there”. It changes state during the preparation, and a file is only ready when every state is known.
-
Missing
known to be needed, not yet obtained
-
Requested
ordered from the issuing body
-
Obtained
in hand, in the original language
-
In form
translated or certified where required
-
Assigned
attached to a specific procedure
-
Submitted
handed to the institution
-
Expiring
valid only for a period, then needed again
Most delays are not caused by a missing document, but by a document in the wrong state.
What proceda organises, and what stays with the institution
proceda App organises
- which areas your context already covers
- which form each receiving body expects
- the order in which steps depend on each other
- how far the file is from Antragsreife
The competent institution determines
- which documents are required in your case
- in which form and language they are accepted
- whether evidence has to be supplied again
- the outcome of the procedure
Where this continues in the proceda App
-
proceda · Document Management
keeps the documents of your case in one structure and records the form each body expects
-
proceda · Path Agenda
orders the steps so dependent ones do not start before their prerequisites
-
proceda · Readiness Status
shows how far the file is prepared and what is still open

Build the context before you build the pile
In the proceda App the profession, the qualification and the procedure stay in one file, so every document has a place, a form and a state instead of a folder.
proceda App supports the preparation and organisation of documents, structure for the Deutschlandprozess. Which documents are officially required, in which form, is determined by the institutions responsible for your procedure.
