How should I prepare my documents for Germany?
Preparation is not collecting. A document is prepared when it is complete, readable, in the right form and assigned to the procedure it belongs to. proceda App keeps that state visible for every piece of evidence in your file.
Preparation guidance does not replace official requirements. Which documents are required, and in which form, is determined by the institutions responsible for your procedure.
What “prepared” means
- Complete, nothing cut off, no missing page
- Readable, legible to someone who does not know it
- In form, translated or certified where required
- Assigned, belonging to a named procedure
- current, not expired when it is needed
Five states, one document. A file that fails any of them is not missing. It is unprepared.
Why preparation comes first
Most delays are caused by documents that were there.
A file rarely stops because a document is absent. It stops because a document arrived incomplete, illegible, untranslated, unassigned or expired. Preparation is the work that happens between having a document and being able to use it.

One document, six preparations
The same certificate, followed through the pathway. Nothing is replaced, each stage adds a requirement the previous one could not know about.
- 01 As issued The original, in its original language. Enough to know what you hold, not enough for a procedure.
- 02 Complete With the transcript, the annex, the reverse side, the parts that describe content and duration.
- 03 Legible A scan someone else can read: full page, straight, no shadow across the seal.
- 04 In the required form Translation or certification, if the receiving body asks for it, and only in the form it asks for.
- 05 Assigned Connected to a procedure and a body, the same document can serve two, in two forms.
- 06 Current Still valid on the day it is needed. Validity is the one state that can quietly reverse itself.
Preparation is not one action. It is six, and each one belongs to a different moment.

Seven principles that hold everywhere
These are not requirements. They are the habits that keep a file usable no matter which procedure it ends up serving.

Completeness before quantity
One complete document with its annex is worth more than three partial ones.

Readable to a stranger
The person reading it has never seen your certificate before. Seals and stamps have to survive the scan.

Keep the original intact
Never annotate, staple or crop an original. Work on copies; the original stays as issued.

One spelling of your name
Transliterations differ between documents. Inconsistency across a file creates queries later.

Form follows the recipient
Translate and certify for the body that asked. A form prepared for the wrong recipient is work spent twice.

One version is the current one
Several scans of the same certificate are normal. Which one is authoritative should never be a guess.

Every document knows its procedure
A document without an assignment cannot be judged complete, completeness is always relative to a purpose.
Fewer documents, better prepared
A large unstructured collection slows a file down: someone has to work out what belongs where. A smaller, prepared set does not need that work.
